1. Introduction

Voice Bonsai is an AI voice and chat receptionist service operated by Bonsai Marketing Company ("Voice Bonsai," "we," "us," or "our"). This Privacy Policy explains what information we collect, how we use it, who we share it with, and the rights you have. It applies to voicebonsai.com, the Voice Bonsai customer dashboard, and the AI voice and chat agents that operate on behalf of our customers.

If you are an end user calling a business that uses Voice Bonsai, the business you are calling is the controller of your personal information; Voice Bonsai acts as a service provider / processor on their behalf. Their own privacy notice governs how they use your information.

2. Information We Collect

a. Marketing site visitors

When you visit voicebonsai.com, request a demo, fill out a contact form, or subscribe to communications, we collect the information you submit — for example, your name, business name, business email, phone number, industry, website, and any message you include. We also collect basic technical information about your visit (IP address, browser, pages viewed) through standard server logs and analytics.

b. Customers and account holders

When you sign up for Voice Bonsai, we collect billing and account information necessary to provide the service, including your business name, contact name, billing address, payment-method details (handled by our payment processor), and the configuration data you provide for your AI agent (greeting scripts, business hours, calendar links, CRM integrations).

c. End users of customer phone lines and chat widgets

When the Voice Bonsai AI handles a call or chat session on behalf of a customer business, we may collect and process:

  • Caller phone number (or chat session identifiers)
  • Audio of the call and a transcript of the conversation
  • Information the caller provides (name, contact details, reason for calling, appointment preferences)
  • Routing and outcome data (call duration, whether a booking was made, follow-up actions)

This data is processed on behalf of the customer business and stored in their Voice Bonsai account. The customer business is responsible for determining what is collected, how long it is retained, and the legal basis for processing.

3. How We Use Information

We use the information described above to:

  • Provide, operate, and improve the Voice Bonsai service
  • Authenticate users and protect against fraud or misuse
  • Generate AI responses by invoking third-party large-language-model providers under contracts that prohibit those providers from using customer audio, transcripts, or content to train their models
  • Send transactional notifications (account changes, billing receipts, security alerts) — these are not optional while you are a customer
  • Send marketing communications to prospects and customers who have not opted out — every marketing message includes an unsubscribe link
  • Comply with legal obligations and respond to lawful requests

We do not sell personal information. We do not share personal information with third parties for their own independent marketing purposes.

4. Sharing & Subprocessors

We share information with a limited set of service providers ("subprocessors") that help us operate Voice Bonsai. Each is bound by contract to use the information only to provide services to us. The categories include:

  • Telephony provider — routes inbound and outbound phone calls between callers and our AI agent
  • AI / large-language-model providers — generate the spoken or written responses the AI agent gives
  • Speech-to-text and text-to-speech providers — convert call audio to transcripts and synthesize the AI voice response
  • Cloud hosting and content delivery — store data and serve the service
  • Payment processor — handles credit-card and ACH billing; we do not store full payment-card numbers
  • Email and notification providers — send transactional and marketing email and SMS
  • Analytics and ad platforms — measure marketing-site and dashboard usage

We may also disclose information to comply with legal process, protect our rights, prevent fraud, or as part of a corporate transaction (such as a merger, acquisition, or asset sale).

5. Cookies & Tracking

The Voice Bonsai marketing site uses cookies and similar technologies for: keeping you signed in, remembering preferences, measuring how the site is used, and supporting marketing campaigns. You can control cookies through your browser settings; disabling them may affect some functionality. The Voice Bonsai customer dashboard uses cookies that are strictly necessary for the service and cannot be disabled while you are signed in.

6. Data Retention

Marketing leads — contact-form submissions and prospect data are retained for up to 24 months from your last interaction, unless you ask us to delete them sooner.

Customer accounts — account, billing, and configuration data are retained for the life of the account and for up to 7 years after closure to meet tax, accounting, and dispute-resolution obligations.

Call recordings and transcripts — by default, recordings and transcripts are retained for 12 months. Customers can adjust retention in their account settings, subject to a minimum (30 days) to support troubleshooting and dispute resolution and a maximum permitted by applicable law.

7. Your Privacy Rights

California residents (CCPA / CPRA)

If you are a California resident, you have the right to: (1) know what personal information we have collected about you and where it came from; (2) request deletion of personal information we have collected; (3) request correction of inaccurate personal information; (4) opt out of "sale" or "sharing" of personal information; and (5) not be discriminated against for exercising these rights.

Voice Bonsai does not sell personal information and does not share personal information for cross-context behavioral advertising. To make a request, contact us at the address below. We will verify your request and respond within 45 days.

EU / UK residents (GDPR / UK GDPR)

If you are in the EU or UK, you have the right to access, correct, delete, restrict processing of, object to processing of, and port your personal information, and to withdraw consent where processing is based on consent. Where Voice Bonsai is the controller, our legal basis is contract performance, legitimate interests (operating and improving the service), or consent, depending on the activity.

How to exercise your rights

Send a request to hello@bonsaimarketingcompany.com with the subject line "Privacy Request" and a description of what you are asking us to do. If you are an end user whose information was collected by a business that uses Voice Bonsai, please contact that business first — they control your information.

8. Call-Recording Disclosure

Voice Bonsai records and transcribes phone calls handled by the AI agent. Recording laws vary by state and country, and some jurisdictions require all parties to a call to consent to being recorded.

The customer business using Voice Bonsai is responsible for obtaining any required consents from callers under applicable law, including by playing or providing a recording disclosure before the call begins. Voice Bonsai offers an optional disclosure-greeting feature ("This call may be recorded for quality and service purposes") that customers can enable; the customer remains responsible for compliance regardless of whether that feature is enabled.

If you are an end user and do not consent to being recorded, you may decline to continue the call and contact the business by another channel.

9. Security

We use industry-standard technical and organizational measures to protect personal information, including encryption in transit (TLS) and at rest, access controls, logging, and vendor due-diligence reviews. No system is perfectly secure, and we cannot guarantee absolute security. If we become aware of a security incident affecting your personal information, we will notify you in accordance with applicable law.

10. Children

Voice Bonsai is built for use by businesses and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.

11. International Transfers

Voice Bonsai is operated from the United States, and our subprocessors generally process information in the United States. If you access the service from outside the United States, you understand that your information may be transferred to and processed in the United States, where data-protection laws may differ from those of your home country.

12. Changes to This Policy

We may update this Privacy Policy from time to time. If we make a material change, we will update the "Last updated" date above and, where required, notify customers by email or through the dashboard. Your continued use of Voice Bonsai after a change takes effect constitutes acceptance of the revised policy.
